Agreement to the Notes

1.Protection of whistleblowers and consulters

• The contents of whistleblowing will be kept strictly confidential by those involved in the response
• You can choose the extent to which your real name is disclosed

• You will not be treated unfavorably by the company as a result of your whistleblowing
• Whistleblowing and consultation that falls under the category of "whistleblowing" under the Whistleblower Protection Act will be protected by the same Act

2.Handling of Personal Information

• We will use the information provided to us for the purpose of investigating violations of laws and regulations, etc.
• Personal information of whistleblowers and consulters will be properly managed and operated in accordance with the Personal Information Protection policy

3.Notes when whistleblowing and consulting

• Whistleblower employees at KAD companies respond to whistle-blowing reports
• You may not get a company response to your whistleblowing
  e.g.

  • When the content that can be reported on TOP screen does not apply
  • If the company decides not to accept
  • If the minimum information required for investigation is not provided
• It may take 1 to 2 business days for the whistleblowing to be linked to the company
  In addition, we are unable to respond to the following requests
  e.g.

  • I want you to tell that to the company right now
  • I want a response by the end of tomorrow. I want a response by ○ of the month ○.
  • I want the person in charge to contact me right away.
• Responses to whistleblowing, consultation, and inquiries received on Sundays, national holidays, year-end and New Year holidays, and holidays when this office is closed will be made on the next business day or later

4. Personal information contained in identification documents

• Text data, URLs, voice data, and other data used for identification will be directly submitted to the company as they are
• If you wish to whistleblow or consult anonymously, please process the information contained in the identification documents that identifies the consulter before submitting them
  *In many cases, personally identifiable information is included in email addresses and signatures
• Please refrain from submitting documents containing sensitive personal information, such as medical certificates.
  （If necessary, we will contact you separately to provide corroboration regarding the reported matter.）

5.About the external contact

• The external contact is operated by NEC VALWAY, Ltd. as a third-party organization This is not a contact point established within the company
• The external contact does not provide the following services
  • a.Investigation of whistleblowing and consultation
  • b.Determining whether it constitutes harassment, etc.
  • c.Various types of advice (e.g. whether it is better to consult with public institutions regarding future actions)
